The print shop’s customer portal: a private online store for your clients, inside the system

PrinTrace customer portal on a laptop: the product catalogue the customer orders from online

PrinTrace’s customer portal is the private area for your print shop’s clients. They log in with their own credentials and order the products you choose to offer. They see the status of their jobs and their invoices. It works like a private online store, sold as an add-on package.

What the customer portal is

The customer portal is the part of PrinTrace your clients see. You work in the system. They log into a private area, only with the credentials you’ve given them. There they order products, check where their jobs stand and look up invoices. It works like a private web-to-print store: a restricted catalogue, not a shop open to everyone. No separate website to build, no other supplier. It’s part of PrinTrace, sold as an add-on package.

The problem: “where’s my job?”

The phone rings to ask where the order is

Each request costs about 5 minutes between the call, checking and answering. At 3 requests a day, you lose 72.5 hours a year, around €1,813. At 10 requests, 242 hours and €6,042. At 15 requests, 362.5 hours and €9,063.

The reorder arrives by email, worded however the client feels like

“Do Marco’s business cards again, like last time.” You look for the old job, ask for confirmation, rewrite the order. In the portal, the client picks the product and orders it themselves.

“Can you send me March’s invoice again?”

Another email, another search, another PDF to send. In the portal, the client finds their invoices themselves.

Estimates from the PrinTrace Mini Analysis, 30 companies, 2025. Calculation basis: 5 minutes per request, 290 working days, conventional hourly cost of €25/h. Results vary from company to company. Download the Mini Analysis (PDF, in Italian) →

How the print shop’s customer portal works

Only people with credentials can log in

You decide which clients to enable. Each client receives their own credentials and logs into their own area. They see only their orders, their jobs, their invoices. No public access, no catalogue visible to anyone who isn’t your client.

Clients order the products

The client picks the product and states the quantity, as in any online store. The order arrives inside PrinTrace, not in a mailbox. You find it in the system, with the details already filled in by the client. For recurring jobs — business cards, forms, labels — the portal removes a round of email for every order.

The client attaches the print files directly to the order, from the portal. No emails with attachments to go looking for.

Job status, without phone calls

The job order is the client’s order. The job is the single process inside the job order. In production, every job moves through its stages, department by department. The client sees the status of their jobs in the portal. The question “where’s my job?” gets answered before it becomes a phone call. How the stages work is on the job management page.

Invoices, always at hand

The invoices you issue from PrinTrace’s accounting are visible to the client in their own area. No copy to look for and resend. The client checks them whenever they need to, even outside your opening hours.

What changes in the business

  • Fewer interruptions. Update requests drop when the client sees the status themselves. Ten fewer requests a day are worth up to 242 hours a year.
  • Orders already written up. The reorder enters PrinTrace exactly as the client filled it in. Nothing to copy out again.
  • Service outside opening hours too. The client orders and checks invoices whenever they want.
  • One more channel, without extra software. The portal is an add-on package for the system, not another program: it works on the same data.

Scenario 3, a structured company. 15 “where’s my job?” requests a day, 5 minutes each, 290 days: 362.5 hours a year, around €9,063. In the portal, the client checks for themselves. PrinTrace Mini Analysis 2025, 30 companies, conventional hourly cost of €25/h. Average figures, not a promise.

One system, from the portal to the invoice

The customer portal isn’t a separate website to connect. It’s inside PrinTrace. The client’s order enters the same system where you prepare quotes and job orders. There, inventory books out the materials and the invoice is created. The status the client sees is the same one you see in production. It all runs in the cloud, from PC, Mac, tablet and smartphone.

Frequently asked questions about the customer portal

What is PrinTrace’s customer portal?

It’s a private area, inside the system, for your print shop’s clients. Each client logs in with their own credentials and orders the products you offer them. They see the status of their jobs and their invoices. It works like a private online store: no public shop, just your clients and your products.

Is the customer portal paid separately?

Yes. The customer portal is an add-on package: it’s purchased separately from the subscription, which starts at €59 per user a month, excluding VAT. It sits in the same system as quotes, job management, inventory and accounting, and works on the same data. We’ll give you the cost at the meeting.

Who can log into the portal?

Only the clients you enable, with the credentials you assign. It isn’t a site open to the public and it doesn’t show your catalogue to anyone who isn’t a client. Each client sees only their own orders, their own jobs and their own invoices. If a client stops working with you, you remove their access.

What do my clients see in the portal?

Three things: the products they can order, the status of their jobs in production, and their invoices. It’s the same data you see in PrinTrace, shown to the client for their own part. They don’t have to call to find out where their job stands and don’t have to ask you for a copy of an invoice.

Do I need a separate e-commerce site?

No. The customer portal is inside PrinTrace and doesn’t need another piece of software or another supplier. If you want a private channel for clients who order regularly, the portal covers it. It isn’t an online shop open to the public: it’s built for your regular clients.

Want to see the portal the way your client sees it?

In the demo, we log into the portal with a sample client’s credentials and place an order together. 45 minutes, online or in person.
