What the print ERP for screen printing and embroidery does

Anyone who personalises clothing works on short orders and frequent reorders. Two hundred t-shirts in two colours. Fifty polo shirts with an embroidered logo. A thousand tote bags for the trade fair. PrinTrace’s quoting tool calculates screen printing, embroidery and the flatbed cutting plotter. The same ERP also covers small-format digital, large format and offset. Anyone doing garments, merchandise and promotional items uses a single tool for everything. Every accepted quote becomes a job without rewriting anything.

Your work, three problems

The same t-shirt comes out at two different prices

The sum done from memory changes depending on who does it. The customer notices and uses it in negotiation. In PrinTrace, operations, materials and times are configured once.

The phone asks where the order stands

Five minutes between the call, the search and the answer. With ten calls a day that’s 242 hours a year, around €6,042. PrinTrace Mini Analysis 2025 on 30 companies, conventional hourly cost €25/h.

The seasonal reorder arrives as “like last time”

You search the old job in the post, ask for confirmation on sizes and colours, rewrite everything. In PrinTrace you duplicate last year’s quote and change the quantity.

The quote per garment and per quantity

The guided steps ask for one piece of data at a time: garment, size, operation, quantity. The price comes from the same price lists, whoever prepares the quote. Each operation is configured once, with name, material, measurements, times and costs. Then you choose it from the menu and the sum is automatic. With the comparative quote you put 100, 250 and 500 pieces on a single document. The customer sees the unit price falling and decides faster. The PDF comes out with your logo and goes out by email from the ERP.

The operations the quoting tool calculates:

  • screen printing, with its own times and materials
  • embroidery with the embroidery machines
  • flatbed cutting plotter
  • small-format digital printing
  • large format
  • offset printing

From order confirmation to job on the floor

The customer accepts and the quote becomes an order confirmation. The job is the customer’s order. The task is the single operation inside the job: the screen print, the embroidery, the packing. The job ticket is born already filled in, with garments, sizes, quantity and delivery date. Attachments stay with the job: the logo, the artwork, the approved proof. Whoever prints and whoever embroiders sees their own department’s workflow. With status checking you know where every task stands, without going down to production. If the customer collects in instalments, you use call-off orders. Staff time sheets record the real hours on the job.

Inventory of garments and inks

Blank garments, inks, threads, substrates, packing materials. You register each material once and link it to supplier items. When you need to, you put it in the cart and PrinTrace creates the order to send to the supplier. On delivery you log the goods and the quantity enters inventory. Every task deducts the materials it consumes. Garments spoiled in printing you log as waste on the task. That way the job’s cost is the real one, waste included. For each material you set a minimum stock and the low stock alert arrives. Purchase and consumption statistics tell you how much you’ve bought and how much you’ve really used.

Seasonal reorders through the customer portal

The team redoes its uniforms every season. The company reorders polo shirts before the trade fair. PrinTrace’s customer portal is a private e-commerce site, open only with the credentials you give out. Your customers choose from the catalogue you decide on and order on their own. They attach the print file to the order, so the right logo arrives with the request. They see the status of their jobs and their invoices. The phone rings less and the order arrives correctly written.

From delivery note to e-invoice

Garments leave with the delivery note, which picks up the job data. The invoice is generated from the same data, without rewriting anything. With batch invoicing you close off in one go the customers with several deliveries in the month. PrinTrace sends the e-invoices through Italy’s SDI system, with no intermediaries. The payment schedule tells you who owes what and when. Reminders go out single or in batch. If the job changes along the way, PrinTrace tracks the change and the price adjustment.

Case type A, family-run company. 360 quotes, 720 tasks and 240 invoices a year. The estimated recovery is 66 hours, around €1,650. Including “where’s my job?” requests, the total reaches €3,463 a year. PrinTrace Mini Analysis 2025 on 30 companies, conventional hourly cost €25/h. Average figures, not a promise. One set of data, from quote to invoice

The t-shirt quote becomes a job in one click. The job deducts garments and inks from inventory and logs the waste. On delivery, the delivery note and e-invoice go out with the same data. Reorders come in through the customer portal, already written by the customer. Turnover, consumption and productivity end up in the dashboard indicators, with the alert thresholds you set.

Frequently asked questions about screen printing and embroidery

Does PrinTrace do quotes for screen printing?

Yes. Screen printing is one of the operations in the quoting tool, alongside embroidery and the flatbed cutting plotter. You configure the operation once, with name, material, measurements, times and costs. Then you choose it from the drop-down menu and the quote calculates itself, per garment and per quantity.

Does it handle embroidery too?

Yes. Embroidery machines are among the operations the quoting tool calculates, with their own times and materials. An order can have screen printing on one garment and embroidery on another, inside the same job. Each operation is a task with its own progress in the department.

How do I handle the same customer’s reorders every season?

Two ways. You duplicate last year’s quote, change the quantity or sizes and send it. Or you open the customer portal: the customer logs in with their credentials, reorders from the catalogue and attaches the file. Either way, you don’t rewrite the order from scratch.

How much does PrinTrace cost for a screen printer with three people?

The monthly fee starts from €59 per user per month, excluding VAT, with support included. Onboarding starts from €2,540 as a one-off and covers the initial setup and loading your records. The contract runs for a minimum of one month, with no notice period.
